The personal information we collect depends upon how you use our website and services.

3.1 Information collected when you visit our website

When you visit our website, our website, hosting provider and security systems may automatically receive certain technical information, including:

Our Asset Library provides approved partners and other authorised users with access to brand, product, promotional and technical resources.

If you request access to the Asset Library, we currently ask for:

first name;
last name;
company name;
telephone number;
mobile telephone number;
email address; and
your reason for requesting access.

We use this information to assess your request, contact you about the request, administer access to the Asset Library and maintain appropriate security around restricted resources.

Submitting an access request does not guarantee that access will be granted.

Approved users are provided with access through an authorised WordPress account.

3.4 Asset Library account and usage information

When you are granted access to and use the Asset Library, we may collect and store information associated with your account and your use of the library.

This may include:

your user account details;
login information;
dates and times of access;
resources or sections of the Asset Library accessed;
documents, images, technical files or other resources downloaded;
the date and time a resource was downloaded; and
technical or security information associated with your account.

Because the Asset Library requires users to log in, we may be able to associate activity within the Asset Library with an individual registered user. This means that we can identify which resources have been accessed or downloaded by a particular user.

We use this information to:

administer the Asset Library;
provide access to requested resources;
maintain the security of the Asset Library;
protect resources from unauthorised use;

When you make or change a choice through our cookie banner, we create a consent receipt.

A consent receipt contains:

a randomly generated receipt identifier;
whether you accepted, rejected or customised optional cookies;
the optional cookie categories you enabled;

the date and time of your decision.

We record acceptance, rejection, customised preferences and withdrawal so that we can apply your choice correctly and maintain evidence of the choice made.

Rejected and withdrawn choices do not trigger approximate location collection.

Approximate location is collected only where location metrics have been enabled on our website and you have expressly allowed the Analytics category through our cookie controls.

This information is associated with the date and time of the Analytics-enabled consent decision. The location is approximate and may not represent your actual physical location.

To determine approximate location:

We first use location information supplied by trusted website hosting or content-delivery infrastructure, where available.
If that information is unavailable, your IP address is sent once through an encrypted HTTPS request to Country API at api.country.is
We retain only the returned city, region and country.
The cookie-banner feature does not store your IP address.

Country API states that it does not log requests. Information about the service is available at https://country.is.

If you reject Analytics, withdraw Analytics consent or save preferences without Analytics enabled, no location lookup is performed and no location is attached to that decision.

8. WordPress, our website CMS and consent records

Our website and Asset Library use a content-management system that includes WordPress functionality.

Personal information may be stored within or associated with our website CMS where necessary to operate the website, Asset Library and cookie-preference controls.

Asset Library access requests;
approved user accounts;
account information;
login activity;
resource access information;
document and asset download history;
consent receipts;
optional approximate locations attached to Analytics-enabled consent decisions; and

When Country API is used, the visitor IP address is transmitted once through encrypted HTTPS for the sole purpose of returning an approximate city, region and country. The cookie-banner feature does not retain the IP address.

Where organisations process information on our behalf, we require appropriate data protection arrangements to be in place.

We may also disclose personal information where necessary:

to comply with the law;
to comply with a court order;
to respond to a lawful request from a regulatory or law-enforcement authority;
to establish, exercise or defend legal claims;

Unsuccessful or withdrawn Asset Library requests

Information relating to an Asset Library request that is not approved, is withdrawn or is no longer required will normally be retained for no longer than 12 months, unless there is a legitimate reason to retain it for longer.

Approved Asset Library accounts

Information relating to an approved Asset Library account may be retained while the account remains active.

Where an account becomes inactive, we will periodically review whether continued access and retention of the associated information remain necessary.

Account information will normally be deleted or anonymised within 24 months of the last meaningful account activity, unless we have an ongoing business relationship with you or another legitimate or legal reason requires continued retention.

Asset Library usage and download records

Records of Asset Library activity, including resources accessed or downloaded by individual users, will normally be retained for up to 24 months from the relevant activity.

Information may be retained for longer where reasonably necessary for security, contractual, legal or business relationship purposes.

Cookies, consent receipts, location and analytics information

The cookie used to remember your privacy choices is retained in your browser for up to 180 days.

Consent receipts containing the choice made, enabled categories, policy version and decision time are normally retained for up to 365 days.

Where Analytics consent and location metrics are enabled, approximate city, region and country attached to a consent receipt are normally retained for up to 365 days. If location metrics are disabled within the website settings, stored location values are deleted.

Google Analytics information is retained in accordance with the retention settings applied to our Google Analytics account.

We periodically review these settings and retain user-level analytics information only for as long as necessary for the purposes described in this policy.

Aggregated statistical information that no longer identifies an individual may be retained for longer.

Legal and contractual records

Where information forms part of a contractual, financial or legal record, it may be retained for longer where necessary to meet statutory, tax, accounting, contractual or legal requirements.

When personal information is no longer required, we will securely delete it or anonymise it.
